PDF Expert Tip: Copy and Paste Text

Copying text from a PDF file to Word presents a challenge to many users. If the PDF page contains tables or multiple columns, selecting text can be downright frustrating - unless you know the little trick.

If copying text from a PDF frustrates you, then today is the day you learned the simple solution! Change to the Text tool ("V" or "Shift-V"), then hold down the Control key (Option key for Mac users). Left-click your mouse and draw a box around the text you want to select. Release the mouse key... and presto! Other text selection options include tools for column and table selection - "Shift-V" will select each of these tools in turn.

If you prefer to copy and paste a graphic of that area of the page instead of text, simply select the Graphics Select tool ("G"), draw a box with the mouse as above, then paste into your favorite application. This feature is fantastic for technical writers, litigators, academics and others who need "snapshots" of the documents they work on. Once you know it, you won't remember how you could work without it!

Do your PDF files need a Tune Up?

Too often, users abandon their downloads of PDF files simply because the file is far too large. Some files include corrupted pages, and most are completely unprotected against unauthorized changes. The vast majority of PDF files made available for customers, vendors, employees or the general public don't even include a simple link back to a website! 99% of PDF files look hopelessly unprofessional in Google's search results.

Documents that go in front of clients are not the only worry. Without the bookmarks feature, any PDF file longer than about 20 pages can only be navigated by flipping pages. Time is wasted with each use of the file.

That's why DSI created the PDF Tune Up. It's a comprehensive health-check, functional enhancement and overnight slimming regimen for PDF files.

From backwards compatibility to accessibility, DSI debugs your PDF problems and generates solutions you can use.

New compression shrinks scanned documents

Starting with Acrobat 5.0x, PDF files may utilize the new JBIG2 compression technology for scanned document files. What does that mean in English?
Very simple. JBIG2 means 30%-60% smaller files than the "usual" CCITT-G4 compression used in most document imaging applications. With JBIG2 compression, you get twice as many pages per megabyte! The result is faster networks, smaller email attachments, more files per disc, and increased ease of use.

Document Solutions, Inc. offers JBIG2 compression as an option on all scanning projects. We also service clients with existing collections of scanned PDF files, adding JBIG2 compression to free drive space and reduce bandwidth.

The forthcoming new release of Acrobat introduces support for JPEG2000 compression for radically smaller COLOR images. Acrobat 6.0 means dramatic new possibilities for deploying image-heavy, layout-rich documents online. And because it's PDF, JPEG2000 is now part of the global electronic document standard.
