Today's Tip: Metadata

Getting the metadata right in published electronic documents can mean the difference between finding the document and not finding the document. Poor metadata means frustrated users, unprofessional and chaotic search-results, and reduced productivity for every user.

Metadata (In Acrobat, the basic metadata fields for PDFs are called "Document Information Fields") is the index information that describes the document. Examples include "title", the "author", "subject", "Invoice No." and so on.

The function of metadata is to help keep documents organized and to provide high-quality search results - a crucial task for organizations with many files online.

Webmasters usually know to address metadata carefully in their HTML, but the PDF content often doesn't get the same treatment. Without a defined Title, for example, you are simply gambling with every user's search results.

The remedy to poor or missing metadata is simple. In Acrobat, the File > Document Properties > Description menu shows the PDF's Document Information fields. Correct the existing or missing information before publishing your file!

Give your company website Google's PDF Metadata Test - and see what you think of your search results! Enter the following text into the Google search field: "pdf filetype:pdf site:YOUR-COMPANY.com" (Be sure to replace YOUR-COMPANY with your own URL.)

Section 508: DSI makes your PDFs comply
